Manager of Intake and Billing Compliance

Freeman Mathis and Gary is a national, specialty litigation firm located in the Cobb Galleria Office Park, steps from the Battery Atlanta. We are seeking a Manager of Intake and Billing Compliance with five years of legal experience for our Atlanta location. Experience in a Law Firm environment or Professional Services environment with an understanding of the legal conflicts and billing process required. This is a fast-paced production environment; therefore, ideal candidates must have strong technology skills, and quickly adapt to and learn new processes and systems and have strong analytical and management skills. Characteristics that have proven successful in the role include knowledge of e-billing platforms, the ability to analyze KPI, follow up, multi-task quickly, research and resolve billing and client new matter conflict issues and above all else, maintain a positive attitude in leading their team and interacting with other key administrative and professional colleagues. This position manages a team of Intake and Billing Compliance Specialists. An assertive communication style and solid written/verbal communication skills are required as the Manager of Intake and Billing Compliance communicates frequently with senior staff and attorneys, either in writing or in-person. Proficiency in Microsoft Outlook required. Experience with iManage and Legal Billing software a plus. This is a 100% in office position and remote work is not available.

Job Duties

  • Supervise a team, including hiring, training, determining workloads, and setting schedules, priorities and deadlines
  • Direct team to perform conflict checks and report results to interested parties
  • Direct team to perform resolution of billing compliance issues in connection with E-billing by outside vendor of client legal invoices
  • Manage team for intake and billing compliance
  • Prepare and analyze reporting data to Management of intake and billing compliance performance and issue resolution
  • Analysis of daily billing reports and allocate team members and resources to address resolution of e-billing invoice issues identified by outside vendor
  • Perform client research on multiple systems and communicate to attorneys, legal assistants and collection department staff
  • Enforce FMG and external vendor’s billing compliance processes and verify completeness of new and ongoing client files in various internal systems and software
  • Train and orient new employees and groups of employees on intake and billing compliance issues
  • Ensure the team assigns proper billing codes and rates to new and ongoing cases.
  • Gain approval on new clients, validate engagement letters and oversee data entry to keep system current
  • Review case information sheets and validate required data inputs
  • Monitor the opening of cases and coordinate with legal assistants to capture all required information
  • Serve as subject matter expert and decision maker for daily issues
  • Additional duties as assigned

 

Candidate Expectations

  • Experience in drafting, responding, and communicating with potential clients
  • Must possess customer service skills and provide excellent customer outcomes
  • Maintain a positive attitude and displays patience and tolerance for tasks that can be at times tedious and monotonous
  • Doesn’t mind frequent interruptions and is slow to get annoyed with people and sometimes clunky systems or processes
  • Experience in initial case management duties such as setting up initial files, entering data, and obtaining additional information
  • Proficiency in data processing, multi-tasking and following up with tasks
  • Excellent working knowledge of Microsoft Word and Outlook
  • Comfortable with navigating and exploring new computer systems- computer literate
  • Ability to work efficiently in a fast-paced and deadline driven environment
  • Accuracy and attention to detail is essential along with an understanding of how the role affects the overall system and legal process
  • Clearly and quickly communicates the pertinent details of a case
  • Ability to build relationships with people in various departments, including Attorneys, Management and Staff
  • Work collaboratively but can focus on one’s assigned tasks
  • Acts as a team player and enjoys helping others out
  • Ability to learn quickly and can solve problems or navigate in unfamiliar systems with little instruction

  Education and Experience

  • 4-year degree strongly preferred.
  • 5+ years’ experience intake experience at a law firm preferred
  • 5+ years’ experience with attorney billing systems preferred
  • Hands on familiarity with multiple e-billing vendor systems preferred
  • Has had direct reports before, demonstrated leadership ability 5+ years
