Senior Staff Counsel – Client Assurance and Conflicts

Freeman Mathis & Gary, LLP is a national, specialty litigation firm located in the Cobb Galleria Office Park, steps from the Battery Atlanta. We are seeking a Senior Staff Counsel- Client Assurance and Conflicts for our Atlanta location. The Senior Staff Counsel is responsible for firm-wide new business assurance, conflicts of interest and new business intake. Essential duties include:

  • Develop and implement comprehensive set of model policies, procedures and forms for integrated client selection and conflicts management for use throughout the firm. Review new and potential clients for scope of representation.
  • Develop and implement standard operating procedures for identifying and resolving client conflicts of interest, including design, development, and enhancement of new business intake and conflicts databases. Oversee conflicts identification and resolution process for lateral lawyer hires (including contract and project lawyers), and all incoming non-lawyer staff.
  • Communicate with attorneys, clients and assistants regarding new matter opening process and ethical rules including applicable code of professional responsibility.
  • Prepare and review attorney client engagement letters for accuracy, including as to scope of legal work.
  • Prepare waiver and disqualification letters.
  • Maintain knowledge of new legal and ethical industry developments related to new business intake and conflicts of interest.
  • Responsible for quality control steps to maintain the integrity of client and matter coding/categorization, and the conflicts database.
  • Responsible for outside counsel guidelines tracking, consent letter tracking, and ethical walls.
  • Responsible for training and development of internal department team members, as well as end users on new business intake applications.

This is an exempt position and the ability to learn and adapt to new processes and systems is essential. Experience in a Law Firm environment or Professional Services environment or equivalent education with an understanding of the legal conflicts and billing process required. Characteristics that have proven successful in the role include the ability to follow up, multi-task quickly, research and resolve problems and above all else, maintain a positive attitude. Solid communication skills are important as position requires communicate frequently with partners, other attorneys, and clients, either in writing or in-person. Proficiency in Microsoft Outlook required. Experience with iManage and legal billing software a plus. 

 

Qualifications and Skills

  • Understanding of legal conflicts and applicable ethics rules
  • Accuracy and attention to detail a must
  • Ability to multi-task
  • Excellent working knowledge of Microsoft Office
  • Proficiency in excel
  • Ability to work efficiently in an extremely fast-paced environment with strict deadlines
  • Must maintain courteous and professional demeanor, with a positive attitude
  • Exceptional written and communication skills a must
  • Ability to work with and maintain confidential and sensitive information

 

Required Experience 

  • Legal degree and professional license required
  • Two or more years of experience in legal or insurance field preferred
  • Experience with Microsoft Office (Word, Excel, etc.) required
  • Knowledge of other business software and online databases preferred
